Systems and Guides to Communication At Otto
Sychrounous
Async Communication
How do we support / handle when someone is in a Noisy place for a call?
- We have grace for someone who is in a Noisy place
- No judgement of the person, this happens and it is a part of remote/hybrid work
- First we try:
- If we can, switch to Around as our Noisy backup (while we aren’t paying)
- If a facilitator can’t be heard, or the background is too loud & distracting, then either:
- Someone else takes ownership of facilitation
- Facilitator moves locations (if Est time to move works for meeting participants schedules)
- We cancel or reschedule
How we Handle Missing a Meeting or Update
Summary
How to handle missing a meeting or async update. This usually happens since everyone at Otto has a life outside their work (or at least we hope you all do and if not we suggest you get one 🙂)
Out of office or Online Situation Examples
- Emergency family and friend engagements
- Loss of power/electricity or internet
Not an Out of office Situation Example
- You see a message, but are busy and you respond by end of day
- Running 5-10 minutes late (nice to let people know still)
How to communicate about being Out of Office
- Pro-actively let your team know through a slack post in an appropriate slack channel
- If you are unable to post on slack, call another colleague to post on your behalf
- When you are unable to post or call a colleague, when you are able to please detail to the team what the issue was even if its later than usual, as sometimes emergency situations arise that need to be addressed immediately
